Why does the Impact Roster return to my Login Screen when Idle? The Impact Roster is set with a time out function. That means if your screen is idle for approximately 60 minutes it will automatically log you off and return you to the login screen.
Where can I find Washington DC? All of District of Columbia’s information is in the state of ‘District of Columbia.’ You can navigate to it from the drop-down menu found on the Select State map.
How do the “Split States” work? Moms in Prayer has split both California and Texas into multiple sections and these function in the Impact Roster as separate states. California is referred to as Northern California and Southern California and Texas is referred to as North Texas, South Texas and East Texas. **A noted exception for split states is in the People and Schools sections, which searches and returns results from the entire state.
What do the Stats mean?
- Total Schools = Number of active schools in the state. Includes public and private schools.
- Total Schools with a Group = Number of schools that have one or more groups covering it in prayer.
- Total Groups = Number of active groups in the state. This does not include Potential groups since they are not yet a group.
- Total Primary Leaders = Number of primary leaders in the state.
- Total Secondary Leaders = Number of secondary leaders (co-leaders) in the state.
- Total Potential Leaders = Number of potential leaders in the state.
- Young Mom Group Indicator = A quantifiable number to help identify young moms. The indicator is defined as the number of School type groups that pray for a school with a 2nd grade.
Are Potential groups included in the Stats? Groups with a Potential Leader are not included in the stats since they are not yet a group.
How do I read the Pie Chart? The pie chart diagrams the breakdown of group types in the state. Group types are displayed as percentages and if you hover over or click on the pie chart section, you will see the number of groups within that group type. A group type is not displayed if the number of groups within that group type is zero.
How are Zip Codes set for a Group? Zip codes are set by the Primary Leader’s or Potential Leader’s zip code. An exception is a church group where the church address is used. If necessary, you can override the zip code pertaining to the group on the group form under the Location Override section.
What is the (P) next to the Leaders Name mean? ‘P’ stands for potential and this group has a potential leader but is not officially a group until she finds another mom to pray with.
Why is there only one AC listed? The AC listed is for the zip code that you selected. If you want to find another AC, you will need to select “find other ACs outside this zip code”.
Why is there only one Area listed? The area list is for the zip code you selected. If you selected a 50 mile radius, you may be crossing over to other areas.
Why do the Numbers change on the Map when I zoom in? When you select a larger search radius and zoom in or out of the map you will see that the numbers change. This is because you are changing the radius as you zoom.
What do the Blue, Yellow, Red Circles and Red Pins on the map mean? A single red pin represents a single group. A blue circle has less than 10 groups with the number in the middle. A yellow circle has more than 10 groups with the number in the middle. A red circle has more than 100 groups with the number in the middle.
What is a Person Code? A person code is assigned to the person and represents their Moms in Prayer role: Leader (designation for Primary and Secondary leaders), Potential, Member, Inquiring, Not Involved
What is the Potential (P) Person Code? This mom is prayerfully waiting for a group to form. She may be a potential leader or the first member of a potential group and she is actively praying for God to send moms her way.
What is the Inquiring Person Code? The Inquiring person code is someone who inquired about group information and was not previously in the MIP database. This could include someone who filled out a GIF (Group Information Form) for the first time or attended an event. The GIF submitter will be automatically added to the database if not already in it. Ideally, once contacted, they will need to be moved to another Person Code: Leader (designation for Primary and Secondary leaders), Potential, Member, Not Involved.
What is the ‘Request HQ to Delete’ checkbox used for? You will need to check this box if someone requests that you delete them from our system. This request is submitted to HQ to remove them from our MIP database, and they will no longer appear in the Impact Roster or receive any MIP communications. HQ processes the final deletion.
Do I want to Delete a person or change them to Not Involved (N)? Request to delete a person if that person has requested to be removed from our database. This person will no longer appear in the Impact Roster or receive any MIP communications.
A person who is Not Involved (N) is no longer in a group or is not interested in joining one. This person still appears in the Impact Roster and receives the newsletter and other MIP communications.
Why is Email Not Required and Why does it have a Black Star? The email field has a black star because you can add a person without an email address. This is because we have many legacy people without an email so we cannot make this a required field. However, when you are adding a new person it is required to add an email.
Why is Phone Not Required? A phone number is not required because in some cases, we may not have a phone for the person, such as when someone submits a GIF. We do highly suggest you gather and add a phone as soon as there is contact with a person.
Why can’t I add a Group when I add a New Person? First, you will need to save the person you are adding. Once their information is saved to the database, the ‘Add New Group…’ buttons will be available on their record.
What if a person has Moved and I do not have a new address for them? Please do the following:
- Remove any related groups
- Set the Person Code = Not Involved
- Enter Address = [no address]
- Leave City, State, Zip as is. Change these only if you know the zip code of where they moved.
- In Notes, enter a date and comment that they moved with no new address.
What is NCES? Moms in Prayer uses National Center Of Educational Statistics (NCES) as its standard for K-12 schools, including public and private schools.
Why can’t I find my School when I search? If you search for the exact name you will only get results for that exact name. If you cannot find the school, try using less information. School names are taken directly from the NCES data and some schools may use a version of their official name. (An examples would be Mount vs MT or Mt Carmel High vs Mt Carmel High School)
What is the Active checkbox used for? This checkbox designates whether the school is active or inactive. A checked box= Active, a K-12 school. An unchecked box = Inactive, does not have a K-12 grade. The types of schools to mark as Inactive are schools without a K-12 grade, preschool without a kindergarten program, juvenile detention centers, or a closed school.
What is the Private checkbox used for? This checkbox designates whether the school is a private school. A checked box = private school and an unchecked box = public school.
Why do I need to add a District for a Private School? Since private schools are not affiliated with a school district, you will need to add a faux district for the private school. In the District field, select ‘_No District (Private School XX)’. The XX represents your state initials. We need to code the private schools this way in order to accurately keep track of them in your state.
How do I find an NCES Number for a New School I am trying to add? You will need to look up the information on the NCES website: https://nces.ed.gov/datatools/. If your school is too new and has not been assigned in the NCES system, you will need to add a temporary number using the following convention: T<state initials><2 digit year>< 2 digit sequential numbering>
Examples for year 2024: Rhode Island – TRI2401, TRI2402; Northern California – TNoCA2401
How can I find my next available Temporary Number? You may run an All Schools report and sort on NCESID.
What should I do when a school closes? Notify your RM of a school closure. RMs, mark it as inactive. Append the name of the school with (closed). Make a note of the closure in the School Notes section, include date and initials (i.e. 6/10/24 – school closed. lv). These schools will be permanently removed by HQ during School Upload.
How do I differentiate multiple schools with the same name? If 2 or more schools have the same name, append the name with the city in parenthesis. Put the appendage in Proper Case. For example: TRINITY CHRISTIAN SCHOOL (Dublin); TRINITY CHRISTIAN SCHOOL (Statesboro). This is particularly important and happens more frequently for Private schools as they all share the same ‘Private District’ when doing a GIF search. You may also use (Upper), (Lower), (Street Name) etc. if the schools are in the same city.
Can schools share NCESID numbers? Yes, if the school has 2 locations. Add a school note with the name of the other school to both records. Be sure to include the year the note was added and initials. Example: For the School Note on RICHLAND ELEMENTARY (Lower): 2024 – Shares NCESID w/RICHLAND ELEMENTARY (Upper). lv
Why can I select only one Primary Group Type? A group can only have one primary group type in order to keep an accurate total of groups and not duplicate them in searches. The group type is self-defined by the group. If there is a secondary group type, you can include it in the Group Notes field. If the group has trouble defining their primary group type, remind them that usually, one type will supersede the other. For example, if you are a grandmother, prodigals and Chinese language group you will need to be a language group as that would supersede the other types. ** Note, if there are any questions related to a specific group, the SC has final discretion on defining a group in her state including overriding and listing as two groups.
What does Last Roster Update Year mean? The ‘Last Roster Update Year’ relates to the annual roster update. Once a year, each group will be updated and this date defines the school year when a particular group was updated.
Why is College and Career listed as one Group Type? For the purpose of the Impact Roster, college and career groups are grouped together. We find this particular young adult group to be fluid and even within a year changes in school status are happening. If a group is truly only career or truly only college, please use the Group Notes to indicate it.
What is the difference between a Primary and Secondary Leader? The Primary leader is the main leader and the communication contact for the group. The Secondary leader is a co-leader for the group. There can be one or more secondary leaders.
How do I change a Primary Leader to Potential? You will need to delete the Primary group and create a new Potential group.
Why are Potential Groups listed? A potential group is a group with a potential leader listed. She is prayerfully waiting for another mom so she can either lead or start a group. You will find these located here so that when you receive someone interested in joining them you will be able to connect them.
Why did I receive this GIF? Distribution is determined according to what information is provided in the ‘Optional Group Information’ section. Please refer to the following link for more details: GIF Distribution Sheet. If further clarification is needed, contact your SC.
Why are the GIA and RC in the same location? In the regions section, you can add or remove an RC or GIA. You will note that you can not have a GIA and RC for the same area even though an RC is in a leadership role and a GIA is a state team member. Once an RC is selected for leadership, they will assume the role of covering the region and receive all inquiries related to groups.
Where do I add or view a Roster Manager (RM)? Roster Managers are located in the state tab.
Where do I add an AC? Area Coordinators are added or removed through the area tab by selecting the specific area.
Can I build my own Custom reports? The ‘All’ reports are designed to include all the People or School or Group record fields and a subset of related information. You can customize them for your purposes.
